BH480 Secretary – TEMPORARY




To provide full support to four company Directors 

Key responsibilities

  • Organising complex international travel arrangements for all Directors ensuring that itineraries are workable.
    • Ensure ESTAs, Visas & Passports up to date
  • Arranging meetings - including logistics, venue sourcing and preparation of presentations
  • Develop creative and advanced highly confidential PowerPoint presentations, often providing the first draft (own initiative) by using / researching key documents and information.
  • Diary Management. 
  • Liaising with local/regional and Global personnel at all levels via telephone, fax, e-mail, post or face to face.
  • Developing good relationships with customers and all support departments in UK and Globally.
  • Taking and screening incoming telephone calls and dealing with queries as appropriate and/or re diverting where appropriate
  • Communications - full confidentiality is paramount at all times.
  • Completing and tracking monthly expenses. 
  • Covering of Reception duties as and when necessary
  • Maintaining comprehensive filing system.
  • Some personal work for the Directors





Previous experience of providing secretarial support to senior managers within a global environment

Experience of using initiative and research skills to prepare reports

Experience of working with the highest levels of confidentiality

Experience of working with a remote, cross country, cross cultural team


MS applications – Intermediate / Advanced

Accurate & fast typing skills


Educated to GCSE / A level


To have a mature and flexible approach, able to work in a methodical manner and be available out of hours if required.

Good business acumen.

To be smart, business like, confident with a cheerful disposition.

Excellent communication skills, both face to face and on the telephone, due to the nature of the position.
